Terms and conditions
Booking
- The student can make a reservation by our webpage, email or telephone. On the enrolment, the student must accept the General Terms and Conditions and Privacy Policy.
- All services should be booked with minimum three weeks in advance. In case of bookings with less than three weeks advice, Student Barcelona does not guarantee availability in the type of course or accommodation desired.
- To confirm the registration, the student must send a deposit of 250€. This amount is not an extra cost and it will be discounted from the total final invoice. The deposit is non-refundable for any cancellations.
- Students holding citizenship from a non European country that require letter of invitation, must pay full amount with their booking.
- Student Barcelona will confirm the booking in 24-48 hours to the student by email.
Admission requirements
- The minimum age to confirm a reservation is 18 years old.
Courses
- Our partner schools reserve the right to place the student in the course timetable available.
- Our partner schools reserve the right that in case that only 1 or 2 students are enrolled on a course in the same level, the number of lessons per week can be reduced.
Accommodation
- For registrations received with less than three weeks, Student Barcelona does not guarantee the availability of the accommodation requested by the student.
- For those who will start a Spanish course, the stay in the chosen accommodation will commence on the Sunday prior to the Monday starting date of the course and concludes on Saturday following the end of the course. In case of advancing your travel to Barcelona or delay your departure after finalizing your course, you can add until 3 extra nights to your stay, subject to availability and acceptance from the accommodation’s owner. Four nights or more will be considered a complete week in the same accommodation.
- For accommodation bookings between 9th June and 7th September, a high season supplement applies. The supplement is €54 per week for all rooms, except for single room at Premium Shared Apartment, which has a supplement of €86 per week.
- The student will be charged for the replacement of any broken item at his accommodation.
- The accommodation provided is strictly for the registered student and may not be used by family members or friends. Visitors are not allowed to stay overnight, and any unauthorized guests will be considered a breach of the accommodation agreement.
- Student Barcelona reserves the right to change students’ accommodations at any time.
Airport transfer
- Student Barcelona does not provide airport transfer services as part of its accommodation or course offerings.
- Students are responsible for arranging their own transportation to and from the airport, by Aerobus, public transport or taxi.
- Upon request, Student Barcelona can provide students with information and guidance on public transport options to assist with their journey to or from the airport.
Calendar
- All courses at all levels start every Monday, subject to availability.
- During National and local holidays in Barcelona the language school will be closed and there will be no classes.
- If during a week there is one local or national holiday day, it will not be refunded or discounted.
- In case that two local or national holiday days fall in the same week, the school shall compensate it by adding one day of classes or the hours of one day in another working days.
Class Attendance
- If a student is unable to attend their scheduled private class, they must inform the school in writing by no later than the Friday prior to the class. Failure to provide timely notice may result in the lesson being unavailable for rescheduling and non-refundable.
- It is not possible to make up for individual missed lessons or specific days of group courses. Missed individual or group lessons will not be refunded or rescheduled.
- For students who experience unpredictable absences, the school offers participation in a virtual afternoon club as a supplementary option.
- For planned absences, students may take a break from their courses for a full week or more (Monday to Friday) by notifying the school several weeks in advance.
Visa
- Students holding citizenship from an European Union member state, including Norway, Iceland, Switzerland and Liechtenstein don’t require visa.
- Students from any other country not included in the list above must contact the Spanish embassy in their own country for further information. For more details please check the information to Foreign Citizens from the Spanish Government.
- If needed, Student Barcelona will send to the student a letter of invitation issued by the school along with confirmation of the course and total invoice free of any charge (except in case of cancellation). For sending urgently the original copies, 110€ will be charged.
- After visa support documents (letter of invitation) have been issued and sent to the student, the type and duration of the Spanish course cannot be modified. The start date can be changed if required for a visa rejection appeal or only being able to obtain an embassy appointment after the start of the Spanish course.
- Once the student visa is granted, the program’s start and end dates are fixed and cannot be changed. Students starting their classes late can use the included holiday weeks in their program to make up for missed classes.
- In case of cancellation of your Spanish course or accommodation, there will be minimum a non-refundable penalty of 500€.
- Student Barcelona and the school will not be responsible in case of rejected visa application.
Payment
- Student holding citizenship from European countries, must pay a deposit of 250€ with the booking. This amount is not an extra so it will be discounted of the total amount to be paid.
- The total cost of all programs must be paid latest 30 days before the student arrival, otherwise Student Barcelona can cancel the program and the student will not get any refund of the deposit.
- For bookings less than 30 days in advance, full amount should be paid with the reservation.
- Students holding citizenship from non European countries must pay full amount with the booking.
- All bank charges will be the student responsibility. In the case whereby the bank charges Student Barcelona a commission for receipt of your payment, we reserve the right to charge you this sum on your arrival.
Cancellations
a) For Students that do not require visa:
- The cancellation notification must be sent by e-mail to Student Barcelona.
- The 250€ deposit will not be refund in any case of cancellation.
- For cancellations received more than 30 days before starting date, Student Barcelona will refund 100% of the total amount excluding the deposit of 250€.
- For cancellations received between 30 and 20 days before starting date, Student Barcelona will charge 50% of the total invoice plus the deposit and the registration fee (60€).
- For cancellations received between 20 and 10 days before starting date, there will be a penalty of 75% of the total invoice and the registration fee (60€).
- For cancellations with less than 10 days or after the chosen program has started, the student will not get any refund.
- After the commencement date of the course and/or accommodation, no refunds will be given under any circumstances.
b) For Students that require visa:
- The cancellation notification must be sent by e-mail to Student Barcelona and must indicate the reason of the cancellation. The following cancellation policies will apply:
- If the student’s visa application is rejected: the student must provide Student Barcelona with an official rejection letter issued by the Spanish consulate or embassy and indicate whether they prefer to file an appeal or request a refund. Should the student opt to appeal, the school will assist in preparing the appeal. If the student decides to request a refund, Student Barcelona will charge the student 500€ on letter of invitation concept and 60€ on administration fee.
- If the student has received a visa and subsequently cancels for personal reasons: the student must cancel the visa with the Spanish consulate or embassy that issued it. Once the visa is cancelled, they must provide proof of cancellation to Student Barcelona, and refunds will then be issued according to:
- For cancellations received more than 30 days before starting date, there will be a penalty of non-refundable deposit of 500€ plus 60€ on administration fee.
- For cancellations received between 30 and 20 days before starting date, there will be a penalty of 50% of the course fees plus 50% of the accommodation fees plus the registration fee (60€).
- For cancellations received between 20 and 10 days before starting date, there will be a penalty of 75% of the total invoice and the registration fee (60€).
- For cancellations with less than 10 days or after the chosen program has started, the student will not get any refund.
- After the commencement date of the course and/or accommodation, no refunds will be given under any circumstances.
- If the visa support documents have been sent to the student but not used for a visa application, the student must complete a legal procedure to guarantee in the name of the law that the documents received from the school will not be used for visa application. Moreover, the student must cover all the additional expenses that the school may undergo in order to conclude such a procedure. After that, Student Barcelona will proceed with the refund with a penalty for the student of €600 as cancellation fee, which will be deducted from the refund amount.
- No refund will be done after the student has received their visa and arrived in Spain.
- After the commencement date of the course and/or accommodation, no refunds will be issued under any circumstances. Students who start their program later than planned may use holiday weeks included in the program to avoid missing classes.
Tariffs
- The official tariffs for all our services are published on the Tariffs page at www.studentbarcelona.com/tariffs. These tariffs take precedence over any prices displayed elsewhere on the website, including the booking form at www.studentbarcelona.com/booking.
- By using the booking form on our website, customers acknowledge and accept that the official tariffs published on the Tariffs page are binding and take precedence over any other prices displayed on the website. Customers are responsible for reviewing the details of their booking carefully, including the price, before completing their payment. If there are any questions or concerns regarding pricing, please contact us for clarification prior to finalizing your booking.
- In the event of a discrepancy between the price displayed in the booking form and the official tariffs, the official tariffs will apply. If an incorrect price has been used for a booking, we reserve the right to amend it. Customers will be informed of any adjustments and may choose to proceed with the corrected booking or cancel without penalty.
Code of Conduct
- Students are expected to attend a minimum of 80% of the classes and should inform the school in case of absence. Missed classes will never be refunded or rescheduled.
- Students and their companions must act respectfully towards others, including fellow students, teachers, school staff, and those sharing accommodations.
- Unacceptable behaviors, such as illegal drug use, alcohol abuse, and offensive or disruptive actions, are prohibited. The school or accommodation entity reserve the right to remove any student from courses and accommodation if they violate these rules. In such cases, no refunds will be issued for the remaining duration of the course or accommodation.
Force Majeure and Responsibility
- Student Barcelona is not liable for any failure to perform its obligations under these terms and conditions if such failure is caused by events beyond its reasonable control, including but not limited to natural disasters, acts of war, terrorism, strikes, pandemics, or any other events considered as force majeure.
- In the event of a force majeure situation, Student Barcelona will promptly notify affected parties and will make reasonable efforts to mitigate the impact and find a suitable resolution, such as rescheduling courses or providing alternative accommodations.
- Students are responsible for their personal belongings and safety during their stay in Barcelona or at the school. Student Barcelona will not be liable for any loss, damage, or injury incurred by the students.
